How to Identify Your Access Card Format and Part Number

You have a card or fob in your hand, the reader beeps when you present it, and now you need more of them. The problem is that nothing on the credential obviously says what it is. The box is long gone, the installer moved on, and ordering the wrong format means the new cards simply will not open the door. Figuring out the format of your access card is one of the most common — and most frustrating — questions in access control.

The good news: Most credentials carry enough clues to identify the format and part number, if you know where to look. This guide walks through the printed markings, the frequency, the facility code, and the reader and panel details that together tell you exactly what to reorder. The three things you are actually trying to identify

Before you flip the card over, it helps to know what you are looking for. A working replacement credential has to match three separate pieces of information:

  • Format — the bit structure and data layout the card uses to talk to the reader, usually named by a part number like 26-bit H10301, HID Corporate 1000 35-bit, or a brand format like Kantech ioProx XSF. This is the single most important thing to get right.
  • Facility code — also called the site code. On a standard 26-bit format, it is a number from 0 to 255 that identifies your building or account and is usually printed before the card number; extended formats allow much larger values. Order cards with the wrong facility code and the panel rejects them even if the format is correct.
  • Card number — the individual ID for each credential, like an employee or unit number, unique within your facility code.

Format plus facility code plus card number is the combination that makes a credential work. Most identification work is about recovering the first two, because the card numbers are just the next available range you assign.


Step 1: Determine the frequency (125 kHz vs 13.56 MHz)

Almost every access credential falls into one of two radio frequencies, and knowing which one narrows the field immediately.

  • 125 kHz is the classic low-frequency proximity ("prox") band. This covers H10301 26-bit, EM 4200, AWID, Keri MS, Kantech ioProx, DoorKing DKProx, Farpointe Pyramid, HID Corporate 1000, and most legacy formats.
  • 13.56 MHz is the high-frequency smart-card band, used by MIFARE, DESFire, iCLASS, and NFC-based credentials, where the card's identity is stored securely in a chip.

A quick field test: Hold a standard NFC reader app on your smartphone near the card. If the phone detects a tag, you are almost certainly holding a 13.56 MHz smart card. If nothing happens, the credential is very likely a 125 kHz prox card, because typical phones cannot read that low-frequency band. This is not definitive — some 13.56 MHz cards use secured sectors a phone will not fully read — but it reliably tells you which side of the frequency line you are on, which is often half the battle.


Step 2: Read the printed part number and card markings

With the frequency narrowed, turn the credential over and read it closely, ideally under good light or with a magnifier. Manufacturers print small but useful information on most cards.


On proximity cards

Look along the top or bottom edge on the back of the card. You will often find:

  • A small multi-digit part or format number in fine print, which may map to a format like H10301 or a manufacturer SKU.
  • A hyphenated or slashed string showing the facility code and card number together, for example 0019 / 04521. The first group is frequently the facility code and the second the card number, though the arrangement varies by manufacturer.

Two important cautions: First, the facility code is not always printed — on many HID prox cards it is encoded internally and never appears on the surface, so a card with only one visible number is common. Second, the externally printed number may not match the internally encoded number, especially on extended formats. Treat printed numbers as strong hints, then confirm against your panel or packaging.


On key fobs

Fobs compress the same data onto the flat face opposite the ring loop, or along the thin edge. Some fobs print a full part number and ID; others omit the format entirely and show only a card number. If a fob is unmarked, the reader and panel details (Step 4) become your best path.


Step 3: Match the markings to a known format

Once you have a part number, a brand name, or a bit count, you can line it up against the common formats. Here is where the printed clues turn into a specific, orderable credential. Match what you see to the closest entry below and follow the link to the exact compatible credentials:

Step 4: Use the reader, panel, and packaging when the card is blank

Plenty of credentials arrive with no useful markings at all. When that happens, the surrounding hardware and paperwork carry the answer:

  • The most recent card box or packing label. The last carton of cards you received usually lists the format and facility code on its label — the single most reliable source when the card itself is silent.
  • Your access control software. Open a currently enrolled card in the panel or management software; it typically shows the format, facility code, and card number on record.
  • The reader and controller model. Note the reader brand and model on the wall and the panel brand inside. A Kantech panel points to ioProx, a Keri panel to Keri MS, a DoorKing gate controller to DKProx, and so on. Some multi-technology readers accept more than one format, so this narrows rather than pinpoints — but it is often enough to confirm a match.


Step 5: Identify the form factor you need

Once the format is settled, decide which physical credential fits how your people will use it. The same format is usually available in several form factors:

  • Clamshell cards — thick, durable, ideal for slot punches and lanyards, but not printable.
  • Printable CR80 cards — standard credit-card thickness for photo ID badges you print in-house.
  • Key fobs — compact credentials for keyrings.
  • Adhesive tags — stick-on discs that convert an existing badge or device.
  • Wristbands — hands-free wear for gyms, pools, and events.
